TeamHub Telemetry Notice
Version 1.0 Effective: 25 September 2026 Last updated: 25 September 2026
1. Scope
This Notice explains the limited community usage telemetry sent by TeamHub installations without an active commercial Licence Key or Trial.
Commercial Licence Keys, active Trials and the fourteen-day Grace Period of a paid licence disable telemetry automatically.
2. Purpose
Doek Works uses community telemetry to understand how the free TeamHub app is used, which TeamHub and Nextcloud versions require attention, which modules and integrations are used, and where development and compatibility work should be prioritised.
Telemetry is not used for advertising, sale of data, individual user profiling or monitoring the content of a Nextcloud environment.
3. Frequency
A community installation sends telemetry at most once per day.
4. Installation identifier
TeamHub uses a separate technical telemetry identifier so reports from the same installation can be recognised during the retention period.
The telemetry identifier is not the Nextcloud Instance UUID. The Instance UUID, Instance URL and hostname are not transmitted. The identifier is used only for telemetry and is not included in a commercial Licence Key or customer record.
5. Exact fields
A daily report may contain:
| Field | Description |
|---|---|
telemetry_id | Separate technical identifier used only for telemetry |
app_version | Installed TeamHub version |
nc_version | Installed Nextcloud version |
team_count | Aggregate number of Teams |
user_count | Aggregate number of Nextcloud users |
unique_team_members | Aggregate number of unique accounts that are members of at least one Team |
member_total | Aggregate number of Team memberships across all Teams |
message_count | Aggregate number of TeamHub messages |
integrations | Names or identifiers of supported integration types in use, without URLs or content |
builtin_integrations | Aggregate Team counts for supported built-in integrations, such as Files, Calendar, Deck, Talk and other supported integrations |
custom_link_count | Aggregate number of custom links, without domains, URLs or addresses |
presence_module | Whether the presence module is enabled |
decisions_module | Whether the decisions module is enabled |
teams_with_decisions_enabled | Aggregate number of Teams with decisions enabled |
decisions_count | Aggregate number of decisions |
decisions_by_status | Aggregate decision counts by status |
decision_categories_count | Aggregate number of decision categories |
suggest_wizard_uses | Aggregate number of uses of the suggestion wizard |
event | Report type, normally daily_report |
The legacy fields uuid and link_domains are not transmitted in the privacy-minimised telemetry design. They are replaced by telemetry_id and custom_link_count.
6. Data not collected
The telemetry report does not include:
- names, email addresses or user identifiers;
- message or decision content;
- files, file names or file content;
- calendar, Deck or Talk content;
- the Nextcloud Instance UUID;
- the Instance URL or hostname;
- custom-link domains, URLs or addresses;
- Licence Keys or customer references; or
- authentication credentials.
Doek Works does not store the sender's IP address as part of the telemetry record. Hostinger may temporarily process connection data in infrastructure, security or webserver logs for operational and security purposes.
7. Legal basis
Doek Works processes community telemetry on the basis of its legitimate interest in understanding adoption, compatibility requirements and feature usage so TeamHub can be maintained and improved.
To reduce impact, we collect only aggregate technical and usage statistics, use a separate telemetry identifier, exclude user content and identifying Instance data, retain reports for three months, and provide an in-app opt-out.
A user or administrator may object to this processing by disabling telemetry or by contacting privacy@doekworks.eu.
8. Controls and opt-out
Telemetry can be disabled at any time in the TeamHub administration settings. Disabling telemetry does not disable the free AGPL-3.0 functionality.
Telemetry is also disabled automatically while:
- an active paid Licence Key is installed;
- a paid Licence Key is within its fourteen-day Grace Period; or
- an active Trial Licence Key is installed.
Network administrators may additionally block the telemetry endpoint at network or firewall level.
9. Hosting, recipients and transfers
Telemetry is received and hosted through Hostinger. Doek Works does not sell telemetry data. Access is limited to persons who reasonably need it for TeamHub maintenance, product analysis, security or legal compliance.
Where Hostinger or another infrastructure provider transfers personal data outside the European Economic Area, applicable safeguards such as an adequacy decision or standard contractual clauses are used where required.
10. Retention
Telemetry reports are retained for no longer than three months and are then deleted or irreversibly aggregated so that individual installation reports are no longer available.
11. Security
Doek Works applies reasonable access controls, transport encryption, limited retention and infrastructure security measures to telemetry data.
12. Your rights
Where telemetry data qualifies as personal data, individuals may have rights of access, correction, deletion, restriction and objection under applicable law. Because telemetry does not contain names or contact details, Doek Works may be unable to identify a person's telemetry record without additional information such as the telemetry identifier.
Questions, objections and requests may be sent to privacy@doekworks.eu.
